Q. What does my personalized agent site look like?

Your agent site is a landing page customized to reflect your business. You will create your site by uploading your professional photo, contact information, shopping link, profile information, and anything you want clients to know about your business.

Q. Why do I need a telephony system to write business?

In 2024, CMS declared changes to its rules and regulations regarding the sales of Medicare Advantage and Prescription Drug plans by Third-Party Marketing Organizations and individual agents, including:

  • All calls (not just sales calls) regarding MA or PDPs should be recorded and stored in a HIPAA-secure manner for 10 years or more.

  • All electronic and telephonic correspondence with consumers must include CMS disclaimers and disclosures.

  • CMS or carriers may request agents submit recorded calls for compliance review at any time.

To conduct business compliantly within the rules and regulations set by CMS, agents now need to utilize call recording and HIPAA-compliant call storage with the ability to retrieve calls.

Q. Do I still need to record calls if I do not collect telephonic signatures on enrollments?

Yes. If you choose to conduct any MA or PDP business with clients over the phone, even just gathering information, your calls still should be recorded. Utilizing approved scripts eliminates the need for sending enrollment links via email, text message, or paper enrollments in the mail. However, if you are not yet set up with approved enrollment scripts to collect telephonic SOAs and signatures, all calls still should be recorded and stored compliantly.

Q. What does my online telephonic platform offer?

AET offers a cloud-based telephonic platform designed for independent Medicare agents and agencies, offering features such as call recording, HIPAA-compliant data storage, AI-powered call transcription, text messaging, optional fax capabilities, and more. You can:

  • Set your available hours

  • Utilize multiple devices (computer, tablet, phone, etc.) with no added fees

  • Complete telephonic SOAs and applications on a HIPAA-secure line

  • Port your preferred phone and fax number

  • Record inbound calls, outbound calls, and online meetings

  • Store and retrieve calls and meetings for life at no additional cost

  • Integrate CRM data, follow-up reminders, fax, calling, and text line

  • Optional add-on for AI Insights, transcriptions, AI Workflow, AI Scorecards, and integrations

Q. Does AET's call recording and storage meet carrier and CMS requirements?

Yes, all calls are secure in transit and in cold storage for life, with NO additional fees. Calls can be retrieved at any time.

Q. Are all calls recorded?

All calls can and should be recorded. Inbound calls will be automatically recorded. Outbound calls will need to be recorded manually – which means the agent will click the record button to initiate recording. You will need to let clients know that the call will be recorded, then begin recording the call.

Q. Can I play pre-recorded CMS disclaimers?

Yes! You can play all required CMS disclosures and disclaimers with the click of a button! Prompts can be saved, stored, and ready to use. You can use an automated voice or record the prompts yourself, using your voice, to play for your own clients if you wish.

Q. Are Meetings compliantly stored?

Yes! Unlike most other meeting rooms, this platform provides HIPAA-secure recording and storage of your recorded meetings. Note that meetings are not automatically recorded; you will need to manually begin recording if you wish to save your meeting.

Q. Can I compliantly collect verbal Scope of Appointments and enrollment signatures?

Yes! Agents utilizing telephonic enrollments are required to have approved enrollment scripts and follow all protocols when collecting a verbal Scope of Appointment for compliant purposes. A Call Center Contract may be required if you expect to use scripts to collect verbal SOAs or enroll telephonically. Please contact your TPMO for more information.

Q. Can I remain available to take calls when I am away from my computer?

Yes! Your online phone system includes a mobile app you can download to your smartphone or tablet, keeping you connected on the go. Set call hours or stay available 24/7, record calls, use AI tools, and even transfer active calls between devices without interruption—start on your phone, switch to your computer, and continue the conversation seamlessly.

Q. How can Basic AI help me?

The basic AI functions that come with AET’s Premium Technology Package are designed to enhance your technology experience and let you work easier. Some elements of basic AI functioning that are included with AET are:

  • Statistical Analysis – track number of calls, duration, dispositions

  • Call Transcription – search and review call transcripts

  • Workflow AI – reminders, appointment setting, and more

  • AI Scorecards - live call tips and topic suggestions

If you opt for the Premium Tech Package, AI technology will be integrated in multiple ways. AI will turn your calls into text, allowing for you to store dictation and search that dictation for specific topics or points of interest. AI workflows can generate reminders, streamline appointment setting, and provide statistical analysis of your call data. AI technology can also note important points and provide a summary of the recorded dialogue or provide live insights that appear as notes on your screen for you to use during the call if needed.

Q. Understanding Scripts

Q. Can I work outside the US on this platform and not incur international costs?

Yes! You may dial into the US from anywhere you wish to work in this beautiful world with no additional fees.

Q. Is the cost for SES Agents Really $99 as advertised?

The standard monthly cost of the Go Elite Tech Secure seat is $299 per month. SES agrees to subsidize this cost, allowing qualified brokers to access the platform at a reduced rate of $99 per month, subject to the terms outlined below.

Discount Structure

  • Brokers will be responsible for paying $299 per month for the Go Elite Tech Secure seat.

  • SES will reimburse the remaining $200 per month, contingent upon meeting annual production requirements, at the end of the calendar year.

Annual Reimbursement Eligibility

To qualify for reimbursement of the subsidized portion, brokers must meet the following production requirement within a single calendar year:

  • A minimum of:

    • 50 Medicare Advantage (MAPD) enrollments, OR

    • 50 Medicare Supplement (Med Supp) enrollments

Important Notes:

  • Production is based solely on submitted and approved enrollments.

  • Production does not depend on the number of carrier contracts held with SES.

  • Only one category (MAPD or Med Supp) needs to meet the 50-enrollment threshold; they are not combined.

Reimbursement Terms

  • Brokers who meet the annual production requirement will receive a reimbursement check equal to:

    • $200 × number of months actively subscribed on the Go Elite Tech platform during the calendar year

  • Reimbursement will be issued at the end of the calendar year.

Participation Requirements

By contracting with SES and utilizing a Go Elite Tech Secure seat, the broker acknowledges and agrees:

  • Participation in this program is voluntary.

  • Failure to meet the annual production requirement will result in:

    • Forfeiture of the reimbursement amount for that calendar year.

  • Broker remains responsible for the $299 monthly fee regardless of production.

Q. Will there be additional training?

Yes! You will have access to walkthrough videos, how-to-use training videos, and FAQs. You can also phone or email AET agent support at any time for fast solutions to all your questions.
